Registration category Definitions:
- Regular Participant – Those persons for which the definitions below are not applicable.
- * CNS – Complimentary IOF CNS -2 registrations for Full member of the IOF Committee of National Societies (CNS). The IOF representative of each Full CNS member society will receive specific instructions. IOF leaves it to each society’s discretion as to how to allocate the free registrations.
- ** University Network– Complimentary IOF UNI Members -2 free registrations. The IOF representative of each University Network Member will receive specific instructions. IOF leaves it to each university’s discretion as to how to allocate the free registrations.
- *** Student/Fellow – (i) Those people who are in training as a graduate (MSc/PhD) student or as a medical student or (ii) those persons who hold MD or PhD degrees and who are in residency or postgraduate fellowship programs. A certification and signature from their mentor/supervisor verifying their training/degree status must be submitted when registering. These participants have the same entitlements as regular participants.
- **** World Bank non-high income nations – A discounted rate is available for participants coming from one of those nations datahelpdesk.worldbank.org/knowledgebase/articles/906519. This discount does not apply to sponsors/company/industry registering delegates.
- ***** CCA – 1 complimentary registration, for early-bird registration only.
Participant’s registration fee includes:
- A conference badge which gives admission to all Plenary Sessions, Meet-the-Expert Sessions, Satellite Symposia, Poster Sessions and Exhibition Area.
- A conference bag containing official material
- Access to the Welcome Networking on Thursday, December 11, 2025 at the conference venue
- A Certificate of attendance
The registration fee does not include:
- Airport transfers
- Local transportation to the Congress Venue
- Meals & drinks
- Accomodation
- Excursions
- Insurance

- No confirmation will be sent until Humacom has received the payment
- If the payment is not received before the deadline, the price of the next deadline will be applied directly.

Your personal Access Code will be sent upon receipt of the registration full payment.
Approximately one week before the Conference you will receive the Confirmation Letter with your personal Access Code.
This document will be the only one valid to access the Virtual Conference. Any other document sent before will be replaced by the last one sent.
All the registrations with pending amounts will be cancelled if the proof of the bank is not attached in a short period of time.
Individual Badge Name Changes (Substitution of Registration)
An administrative fee of 35 USD per badge will be charged for a badge name change after August 30th, 2025. Written permission from the original participant will be required, along with full contact details of the substitution. The Access Code is Personal and non-transferable.
Individual Cancellation & Refund Policies
Notification of cancellation and refund requests must be submitted in writing by e-mail to registration@iof-regional.org before May 31st, 2025: 50% reimbursement.
No refunds will be given for cancellations and/or modifications received after May 31st, 2025 in any case. In case of duplicity no reimbursement will be possible so please check it before.
Lost Badge / Forgotten Badge
Access will not be permitted without an Access Code. In case of a lost or forgotten Access Code, an administrative fee of 35 EUR will be charged for the resent of the Access Code in any case after verification of identification (passport, driving license or other recognized identification paper).
The Conference organizer International Osteoporosis Foundation (IOF), its official appointed agencies for Registrations and the Conference Secretariat (HUMACOM SRL) and any suppliers, representatives or agents linked to the organization of the Conference shall not be held liable by any person for any injury, damage, theft, loss, medical problem or inconvenience which may be suffered by any person while traveling to or from, or during such person’s presence in connection with this Conference. Participants are advised to purchase their own insurance against any such occurrences.
In case of force majeure, the Conference organizer have the right to alter or cancel the Conference without prior notice, however a notice of the occurrence shall be given by the International Osteoporosis Foundation as soon as reasonably possible. Force majeure shall mean any circumstance beyond the reasonable control of the International Osteoporosis Foundation which prevents or impedes the holding of the Conference, including, but not limited to, government action, war or hostilities, riot or civil commotion, plague or other epidemic such as SARS, bird flu, etc., earthquake, flood, hurricane, cyclone, fire or other natural physical disaster, explosion, accident or breakdown, strike, lack of the usual means of transportation or terrorism or due to events which are not attributable to wrongful intent or gross negligence of the International Osteoporosis Foundation. The International Osteoporosis Foundation shall not be liable for any direct or indirect, incidental or consequential damages, losses, expenditures or any other inconveniences or costs caused by such modification or cancellation of the Conference. Furthermore, registration fees will not be reimbursed by the International Osteoporosis Foundation.
All people attending any function of the Conference are kindly requested to wear their badges during all conference activities. Entry will not be permitted without a badge.
Participants are strongly advised to make sure they fulfil all legal requirements to enter Japan. Besides a valid passport, an entry visa may also be required.
It is highly recommended to start the process a minimum of 3 months prior to your arrival in Japan. Please contact your nearest Japanese consulate or embassy in your country of residence for further information.
Invitation letters to assist in visa formalities will be sent to people who request it in order to help you obtain the visa. It must be understood that such letter does not imply any financial support or hosting arrangement from IOF, nor a guarantee of a visa being issued. The attestation letter to assist in visa formalities will only be sent on request by e-mail and only to participants who have paid their registration fees in full.
Should you wish to receive a letter, please note that your request must be registered as early as possible by sending an email to registration@iof-regional.org.
All reasonable endeavours will be made to hold the Conference and to present its programme as scheduled under circumstances which assure the comfort and safety of all participants. However, the IOF reserves the right to modify the programme, unilaterally and without notice. Neither IOF nor their officers, directors, employees, representatives or agents, shall be held liable by any person as a result of the cancellation of the Conference or any of the arrangements, programmes or plans connected therewith, or for any injury, damage or inconvenience which may be suffered by any person while traveling to or from, or during such person’s presence in Japan in connection with this Conference. Participants are advised to purchase their own insurance against any such occurrences.
